By accessing or using BayLog, you agree to be bound by these Terms of Service. Please read them carefully. If you do not agree, do not use the service.
1. About BayLog
BayLog ("we", "us", "our") is a work-hour tracking application designed for automotive collision repair shops. The service is available at app.baylog.app and is operated out of British Columbia, Canada.
2. Eligibility
You must be at least 18 years of age to use BayLog. By using this service, you confirm that you have the legal authority to accept these terms on behalf of yourself or your organization.
3. Your Account
To use BayLog, you must create an account or be invited by a shop administrator. You are responsible for:
- Keeping your login credentials confidential.
- All activity that occurs under your account.
- Notifying us immediately if you suspect unauthorized access at support@baylog.app.
If you are invited to join more than one company or shop, a separate profile will be created for each organization. You will be prompted to select your active workspace upon login. Each workspace's data remains independent and is governed by the permissions of that organization.
4. Acceptable Use
You agree to use BayLog only for its intended purpose — tracking work hours in an automotive collision repair environment. You agree not to:
- Enter false or misleading data.
- Attempt to access data belonging to other companies or shops.
- Reverse engineer, copy, or redistribute any part of the application.
- Use the service for any unlawful purpose.
- Attempt to circumvent the role-based access controls built into the application.
5. Your Data
You retain full ownership of all data you enter into BayLog, including work entries, RO numbers, and employee information. We do not claim ownership of your data.
You are responsible for the accuracy of the data you enter. BayLog provides tools to record and report data — we do not verify or validate the accuracy of the information entered by your team.
6. Manager Communications and Work Entry Flags
BayLog includes a feature that allows technicians to flag work entries that may require time adjustments. When a work entry is flagged, shop managers may view the flag and add a written response note. This response is visible to the technician who submitted the flagged entry.
By using this feature, you acknowledge that:
- Manager response notes are stored as part of the work entry record.
- Notes are visible to the technician associated with that entry and to authorized administrators within the same organization.
- BayLog does not mediate disputes arising from flagged entries or manager responses.
7. Digital Signatures
BayLog allows technicians to provide a digital signature when submitting a Vacation Pay Request. By providing a digital signature, you confirm that the information in the request is accurate to the best of your knowledge. Digital signatures are stored as image data and are used solely for record-keeping and PDF generation. They are not legally binding electronic signatures under any specific electronic signature legislation unless otherwise agreed upon by your organization.
8. Real-Time Features
BayLog uses WebSocket technology to provide real-time data synchronization between users within your organization. This includes instant notifications when pay periods are submitted, reviewed, or when manager responses are added to flagged work entries. By using BayLog, you consent to this real-time transmission of work-related data between authorized users in your organization.
9. Subscription and Payments
BayLog is offered as a paid subscription service. Subscription fees are billed in advance on a recurring basis. Payments are processed securely through Stripe.
- Cancellation: You may cancel your subscription at any time. Your access will continue until the end of the current billing period.
- Refunds: We do not offer refunds for partial subscription periods. If you believe you have been charged in error, contact us at support@baylog.app.
- Price changes: We will provide at least 30 days notice before any price change takes effect.
10. Service Availability
We aim to keep BayLog available at all times, but we do not guarantee uninterrupted access. The service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.
BayLog is built on the Base44 platform. Service availability is also subject to Base44's infrastructure and terms.
11. Limitation of Liability
BayLog is provided "as is" without warranties of any kind. To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential damages arising from your use of the service, including but not limited to payroll errors resulting from inaccurate data entry.
Our total liability to you for any claim shall not exceed the total amount you paid to us in the three months preceding the claim.
12. Termination
We reserve the right to suspend or terminate your account if you violate these Terms of Service. You may also terminate your account at any time by contacting us at support@baylog.app.
Upon termination, you may request an export of your data within 30 days. After that period, your data may be permanently deleted.
13. Governing Law
These Terms of Service are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein. Any disputes shall be resolved in the courts of British Columbia.
14. Changes to These Terms
We may update these Terms of Service from time to time. We will notify active users by email at least 14 days before significant changes take effect. Continued use of BayLog after that date constitutes acceptance of the updated terms.
